Portal Links / Lookup Links

A Portal Link is a shareable URL, with a matching QR code, that lets a parker start registering for a permit without signing in to the Offstreet dashboard. The right type depends on how narrowly you want to guide them: to one location, one tenant, or straight into one permit type.

Portal and Dashboard Access

Every Permit Type's Details tab has a Portal and Dashboard Access card that controls how permits under that type can be created, through two independent toggles.

  • Portal: when enabled, parkers can reach this Permit Type through a Portal Link. This is the toggle Portal Links depend on. The card shows live counts of the links already tied to this Permit Type (Permit Type Link, Location Link, Tenant Links) as shortcuts that jump straight to the Portal Links tab, pre-filtered to that type. A Manage Links button jumps to the tab unfiltered, showing every link.
  • Dashboard: when enabled, staff can create permits for this Permit Type directly from the dashboard, independently of whether Portal is on.

Both toggles are edited from the same Edit button used for the Permit Type's Name, Description, and Display Order.

Note
Switching Portal off makes existing Portal Links for that Permit Type stale: the permit type can no longer be found or used through that link, or any link, until Portal is turned back on.

Location links

A Location link is tied to one parking location. It gives the parker the location context first, then shows the parking options available there.

Use a Location link when:

  • You want to share one facility or lot.
  • Several permit types are available at that location.
  • The parker should choose from the options configured for that location.

A Location link does not identify a specific tenant, so the parker may see multiple eligible options, depending on the location and permit type configuration.

Tenant links

A Tenant link is tied to a specific tenant and a location. It narrows the experience to the permit types and parking options available to that tenant at that location.

Use a Tenant link when:

  • A tenant, department, resident group, or other defined group should have a focused entry point.
  • One location serves multiple tenants who should each see different options.
  • The parker's registration should retain the tenant context.

A Tenant link requires a location, since the product does not support a tenant-only link without one.

Permit Type links

A Permit Type link is tied to one specific permit type. It takes the parker directly into that permit type's registration flow, rather than asking them to choose from a broader list. It can be created:

  • Without a tenant, making it an unassigned link for that permit type.
  • With a tenant assigned, making it specific to that tenant as well.
  • With an optional location, where the permit type is available at more than one.

Can a tenant be assigned to a Permit Type link?

Yes. When that tenant is associated with the permit type, assigning it creates a link that retains tenant context for the parker. This is different from a Tenant link:

  • A Tenant link starts from the tenant and shows the permit types available to it.
  • A Permit Type link with a tenant starts from one permit type and keeps the tenant context.

What happens if no tenant is assigned?

The link stays a Permit Type link, just not restricted to a specific tenant, so the parker enters that permit type's registration flow without tenant context.

The exact screen and steps still depend on how that permit type is configured.

Choosing the right link

  • Choose Location when the parker should start by picking from the options at one location.
  • Choose Tenant when the parker should see only the options available to one tenant at a specific location.
  • Choose Permit Type when the parker should go directly to one permit type, with or without a tenant.
Important distinction
A link controls the parker's starting context: it does not replace the permit type's configuration. The options, questions, and steps still depend on what's configured for the selected location, tenant, and permit type.

Create a Portal Link

From a Permit Type's page, open the Portal Links tab and click Create Link.

Choose the link type: Permit Type, Location, or Tenant.

Select the Location and/or Tenant to scope it to, then name it.

Click Create Portal Link or Create & add another to keep going.

Each new link gets a unique code, e.g. #3JN2JXHO, and a shareable URL in the form offstreet.io/location/<code>. Links are active as soon as they're created.

Note
Auto-creation depends on the client cohort:
  • For higher education clients, a Permit Type link is created automatically whenever a new Permit Type is added.
  • For private parking operators, it needs to be created manually using the steps above.
Either way, this tab always shows every link relevant to the Permit Type: Permit Type, Location, and Tenant alike.

Manage links

The Portal Links tab lists every link created for that Permit Type: name, type badge, the Tenant and Location it's scoped to (or "All Tenants" / "All Locations"), and its creation date. Use the search box or the Deleted Status, Link Type, Locations, and Tenants filters to narrow a long list.

Each row's Copy and QR buttons give quick access. The row's ⋮ menu offers:

  • View Details: the link's ID, status, URL, and scope
  • Open Portal Link: opens the parker-facing page in a new tab
  • Copy Link: copies the URL to the clipboard
  • Download QR Code: a scannable QR code for print or signage
  • Remove: deletes the link

Select multiple rows with the checkboxes, or use Copy All Links to copy every link on the page at once.

Note
Removing a link doesn't permanently delete it: it's marked Deleted rather than erased, so it can still be found later. Uncheck Not Deleted (or check Deleted) in the Deleted Status filter to see it again.

The parker experience

Once a parker opens a link, they move through a short flow: Parking Details (date, time, and whichever of location, tenant, or permit type the link leaves open), then Permit Details, then confirmation. A Help and Support panel, with a Contact Us link, stays alongside the form the whole way.

Example: Guest Parking

The Guest Parking permit type currently has four Portal Links configured.

This mix shows the pattern in practice: a broad Permit Type link for general sharing, a Location link for signage at Structure A, and two Tenant links that give Visitors and Students and Staff their own dedicated flow at that same structure.
